Is your customer data stored in America or Europe?

Today, if you, as a European organization, decide to get started with HubSpot, your data will automatically be stored in a European Datacenter. But how does that work if you have been a loyal customer & user of HubSpot for some time?

Many organizations have been working with HubSpot for some time. You may be one of them. There is a good chance that your customer data is stored outside Europe, in an American data center. If that is the case, then it is interesting for you to switch / take a look at HubSpot migration.

There can be various reasons why you want to move your data to a server in Europe. Because no HubSpot account is the same, we will first review your account. We need to find out the following things:

  • Which Hubs are being used and how are they set up
  • How many HubSpot forms are being used
  • How many landing pages are being used
  • How many CTAs are being used
  • How many workflows are set up and active
  • How many emails are in HubSpot
  • How many chat(bots), templates and snippets are included

After we have agreed on the proposal, we will schedule the work.

Agreements with HubSpot

We start with the agreements that need to be made with HubSpot. We arrange a new account at a European Data Center. We also ensure that you do not have double license costs and that you can still access the data in the old environment for a certain period after the migration. Always a nice feeling.

Manual work

After the administrative matters have been arranged with HubSpot, we really get to work. We start with the manually created items. That often takes up most of the time.

Automatic data migration

Subsequently, all objects (contacts, companies, deals and tickets) are taken over via a module purchased by us. The engagements are also taken over. Think of sent emails, notes, meetings, etc.

Execution time

The execution time for these activities is on average 2 weeks.

All data is now in two places, namely the old and new environment. It is up to you to see if we have taken over everything correctly.

Coordinate go-live date

If everything has been taken over properly, we will discuss a date on which we will actually go live on the new environment. We will then ensure that all your people can simply log in to HubSpot and automatically end up with the new account.

Last update

We also update all contacts, companies, deals and tickets once. it is possible that deals or tickets have changed stages. After all this has been done, work will be done in the new environment and all your data will be stored on a European server.

Support after going live

Of course we will also be there for you after going live. If there are any questions / adjustments required, they will be addressed by us. This aftercare is also included in the agreed price. So no surprises here.

Below are the most frequently asked questions about the data that will be transferred to your new account

How do I know where my HubSpot data is stored?
That's fairly easy. Login to your HubSpot account and look at the url. If it says https://app.hubspot.com/ then it is hosted in America. If there is eu in the url, such as https://app-eu1.hubspot.com/, your data will be stored within Europe.
Does all the data transfer to the new HubSpot account?
Most data is transferred from the old to the new account. However, unfortunately, not all data is transferred. For example, page views of contacts do not transfer. Additionally, form submissions do not transfer by default. However, we have developed a method to still be able to see which forms were submitted in the past. It also depends on what you currently have in your account. Therefore, make an appointment to specifically see which data of yours can and cannot be transferred.
Can I also migrate my account myself?
Of course you can also start migrating your installation yourself. The only question is whether that is wise. I can tell you from experience that you need to know what to look out for. Which data will be transferred to the new environment?
We transfer all contacts, companies, deals, tickets, and custom objects from the old environment to the new one. This includes all default and custom properties. Additionally, all forms, automated emails, CTAs (Call-to-Actions), landing pages, and websites (if built in HubSpot) are carried over. Most contact lists are migrated, and dashboards and reports are transferred in consultation. The chatbot(s) are also migrated, along with all files. Lastly, all logs, notes, calls, and similar data are included in the migration.
Which data will not be transferred to the new environment?
In general, we are unable to transfer behavioral data of contacts, such as page views.

Impact on business operations

You just want to know where you and your colleagues stand. What do you have to do yourself and to what extent does this interfere with normal activities?

Which adjustments can and cannot we continue to make during the migration?
In general, a migration has little impact on normal business operations. You can continue working in the old environment as you did before. However, there are a few things that may not be possible temporarily. Once we start the website migration process, you will be unable to make changes to the site for a temporary period (usually a few days). Of course, all of this will be done in good collaboration and according to a mutually agreed-upon schedule.
How much time should I and my colleagues reserve for a migration process?
There will need to be people available to answer questions throughout the entire migration process. This doesn't mean they have to be dedicated full-time, but they will need to occasionally respond to inquiries from me. Please note that during a migration process with an estimated duration of approximately 2 weeks, you can expect to spend between 5-10 hours per week on guidance and support.
